POSITION: Contracts Manager

KEY RESPONSIBILITIES:

– Receives Contract File when an order has been placed and familiarises myself with the Contract and the Contractual Requirements.

– Arrange customer Liaison Meetings.

– Attend weekly Planning and Progress Meetings.

– Use the Meeting Minutes to manage effective contract execution.

– Maintain Records of Communication with all the relevant parties to ensure accurate record of progress and Conformance to Contractual Obligations.

– Compile and submit Monthly Progress Reports to the Client as per agreement.

– Compile Monthly Status Reports submitted to the company. Report focuses on financial issues pertaining to DFL Labour, P&G’s and Material purchases. The report further focuses on the program, slippages and a summary of the project’s financial side with regards to invoicing, Compensation Events been priced, cost to completion, etc.

– Coordinate between the Site Management, Procurement, Expediting, Planning and other relevant departments, in setting and maintaining priorities, to ensure timely performance sufficient to keep the overall project on schedule and within budget.

– Liaises with both the customer and my own team to timeously communicate potential problems and to resolve these problems.

– Prepares the project Close-Out Report as per the customer’s and the company’s requirements.

– Direct and control the activities of sub contractors to ensure that safety, quality, schedule, design and specification requirements are achieved.

– Direct, monitor and motivate the Site Management in their performance and direct their activities as necessary to ensure project requirements are met.

– Ensure all documents and back up information are obtained and maintained with regard to contractual issues should a dispute or counter claim be instituted against the company.

– Work in conjunction with the Site Manager in developing site organization and staffing requirements, required to execute construction activities within project schedule and budget requirements.

– Overseeing of the QS department on site. Monitoring of monthly measurements, approval of monthly progress payment certificate before final submission to the client.

– Submits certificates or invoices to customers for payment and follow up on these payments to ensure a healthy cash flow for the company.

– Weekly monitoring of cost reports to ensure costs are kept within the allowable limits and that sufficient profit margins are being maintained.

– Co-ordinate and enforce legal requirements on site. Ensure the necessary permits and licenses are obtained and in place prior to start of construction activities e.g., Notice of project to manpower, insurance certificates, worker’s compensation, environmental permits, etc.

– Manage responsibilities in relation to the Occupational Health and Safety Act, to ensure compliance as stipulated by the act and site specific requirements.
