8/2013 – 3/2014 Document Manager on Corporate reporting to the Head of Quality & Management System responsible for managing and maintaining Leighton Offshore Document Management System in corporate and projects. Ensuring compatibility with the contractual requirement. Application and development of Corporate policies, management plans and procedures to meet all statutory and contractual requirements.

Objectives and accountabilities of role:

• EDMS DEVELOPMENT;

1. Writing Document Management System Procedure and Guideline in accordance with well defined.

2. Incorporate with IT Infra Manager to define hardware and infrastructure including system architecture and software requirement(s).

3. Responsible for overall coordination of controlled to deliver effective Electronic Documents Management System (EDMS) in organization and all projects for efficient document processing of all communications, supplier documents, design documents, construction documents or other internal or external documents.

• SETUP & IMPLEMENTATION

1. Responsible to setup and Implementation of Document Management Systems as per business requirement(s).

2. Incorporate to define problem, collect data and fact by user acceptance test before production with following a standard development systematic life cycle (SDLC) approach.

• PROVIDE TRAINING & ASSESSMENT TO THE STAFFS;

1. Provision appropriate training and assessment activities to provide knowledge to all users in term of usage the EDMS (type of my training; basic, intermediate and advance).

2. Responsible as a (SME) subject matter expert of EDMS to provide a support and define problems with special ability, in-depth knowledge from both a business and IT perspective to help project management team, business partners and client.

• CONTRACT MANAGEMENT & BUDGETING;

1. Participates in developing and administrating budget for document and records management program and also estimate the forecast of the resources requirement(s)

2. Maintain contract document kit for all projects (Document Systems).

• MONITORING;

1. Participates in audits (such as; internal, external, 3rd party) and evaluates in order to verify that regulatory, record management program and quality requirements have been met.

• PERFORM OTHER DUTIES;

1. Plan-Do-Check & Act Management System for the upcoming Project(s) and Corporate Offshore Division.

2. To ensure all incoming and outgoing documents are distributed in timely manner and record systematically thru system

3. To ensure Master Document Register (MDR) and Vendor Document Register (VDR) are implemented and updated in system

4. Responsible for coordinating DCO (document change order), electronic IDC (Inter-Disciplinary Check) workflow in term of review, approval and retention of risk management document.

5. Delegates and directs the work activities of project document control team.

6. Project completion and handover.
